Privacy Policy

1. Who we are

ClashScout ("we", "us", "our") is a Clash of Clans clan recruitment platform available at clashscout.gg. We are not affiliated with or endorsed by Supercell Oy.

2. Data we collect

• Account data — email address, username, and display name when you create an account.
• CoC player tag — if you choose to link your Clash of Clans tag to your account.
• Clan applications — the message you write when applying to join a clan.
• Reviews — star ratings and written reviews you submit for clans.
• Discord bot data — if a clan leader connects a Discord server to their clan, we store the Discord guild ID, channel ID, and webhook URL for that server, and which alerts they have routed to which channel. We never read or store messages in your server.
• Discord account link — if you run /verify in our Discord server, we store your Discord user ID against your Clash of Clans player tag, along with your Town Hall level, clan, clan role, and league, so your roles can be kept up to date automatically. We do not store the Clash of Clans API token you use to prove the account is yours; it is checked with Supercell and discarded. You can ask us to delete this link at any time.
• Usage data — page views and interactions. We collect anonymous, cookie-free analytics via Vercel Analytics, and first-party usage events (which pages and features are used) stored on our own servers. If you are signed in, these events are linked to your account so we can see which features are worth building. We do not use tracking cookies, we do not store any identifier on your device that persists after you close the tab, and we do not share this data with third parties.

3. How we use your data

• To authenticate you and manage your account.
• To display your clan applications and reviews.
• To look up your Clash of Clans player stats via the official CoC API when you link your tag.
• To send Discord notifications (application alerts, war updates, member changes) to channels where a clan leader has connected our bot.
• To improve the platform by measuring which pages and features are actually used, and how often people return. Where you are signed in, this is linked to your account; it is never used to build a profile of you or shared with anyone else.

We do not sell your data to third parties.

4. Discord Bot

The ClashScout Discord bot sends automated notifications to channels where a clan leader has explicitly granted access via Discord OAuth. The bot:

• Posts Clash of Clans player stats (town hall, trophies, war stars, heroes) when a player applies to join a clan, with Accept and Reject buttons.
• Posts war updates for connected clans: preparation, battle day, results, post-war reports, reminders, and a live war board.
• Posts clan updates for connected clans: member joins and leaves, promotions and demotions, Town Hall upgrades, name changes, clan achievements, donation summaries, and raid weekend summaries.
• Posts a daily digest of applications still waiting for a decision, and alerts for players on the LFG board who match a clan's recruiting filters.
• Responds to slash commands (/recruiting, /player, /clan, /war, /members, /help, /notifications) with live CoC API data.
• In the ClashScout community server only, assigns Town Hall, clan rank, and league roles to members who have linked an account with /verify, and keeps those roles current.

A clan leader chooses which alerts go to which channel with /notifications in Discord, or from the ClashScout dashboard. Discord connections can be removed at any time from the dashboard, which immediately stops all bot notifications to that channel.

5. Third-party services

• Supabase — authentication and database hosting. Your data is stored in Supabase's EU infrastructure.
• Clash of Clans API — we fetch clan and player data from Supercell's official API. Your CoC tag is sent to this API only when you explicitly link it or trigger a lookup.
• Discord — if a leader connects a Discord server, we store a webhook URL and send notification payloads to Discord's API. We do not access or store messages in your Discord server beyond what is sent by our bot.
• Vercel Analytics — privacy-friendly, cookie-free analytics. No personal data is shared.
• Google / Discord OAuth — if you sign in with Google or Discord, we receive your email address and name from that provider.

6. Data retention

Your account data is retained until you delete your account. You may request deletion by contacting us. Anonymous analytics data is retained by Vercel per their own policy. First-party usage events are kept for up to 400 days and then deleted automatically. If you delete your account, those events are immediately unlinked from you and remain only as anonymous totals.

7. Your rights

You have the right to access, correct, or delete the personal data we hold about you. Contact us at the address below and we will respond within 30 days.
